Role description
The Finance Admin Assistant will provide support to the Accounting Manager, and the Finance Associate. The primary areas of support are, Accounts Payable, Cash Application, and Office Administration. The Secondary area of support is assisting with the disputing of customer violations (chargebacks).
Objectives of the role
Accurate and timely processing of all Accounts Payable transactions
Timely payment application of wholesale and direct sale payments
Effective administration of office including maintenance and planning
Consistent, timely and pro-active support to the team as needed
Primary Duties
Process Accounts payable transactions and ensure accurate coding and collection of approvals of invoices in ERP system
Perform Accounts Payable duties such as account maintenance, reconciliation, collecting, scanning, and filing supporting documentation
Expense report collection and processing, ensuring accurate coding and collection of receipts
Apply complex wholesale payments according to the customer remittance advice
Accurately code any payment discrepancies and/or Chargebacks
Apply direct sale payments from PayPal, Shopify and Amazon seller portals
Reconcile and post discrepancies and month-end accruals for Direct Sales transactions
Coordinate office maintenance and event coordination liaising with all departments
Provide support to Accounting Manager and AR Manager with customer and vendor inquiries and reporting

Qualifications/experience required
1 year + experience with Administrative and clerical tasks
Extremely competent with Microsoft Excel and office suite
Excellent communication and organizational skills
Ability to be pro-active with a sense of urgency
Must possess the ability to work without direct supervision, and efficiently manage tasks and time
Display a positive and pro-active attitude
